Structure and use

The document generator is not a universal list generator , it is exclusively designed for the layout of  pre-defined documents. A document such as an invoice, cannot, due to the specific special features, be created meaningfully by a list generator.

A document layout always consists of the following elements:

1.       Page  ⁄  document

2.       Printing fields

3.       Printing zones

4.       Printing objects

5.       Variables

Each following element is always part of its precursor. This concerns mainly the co-ordinates of Top and Left, eg: the specification Top = 0 and Left = 0 in the printing object, positions the object in the above left corner of the printing zone. If the position of the zone is changed within the area, this has no influence on the position of the objects.

All position specifications are in millimeters. Therefore it is easier , on an existing draft, to define the desired position with a ruler. The apparent complicated settings are necessary to create a draft, regardless of which printer is used.In any other case, a draft of the printer type and its resolution is necessary. The display on the screen is only partly correct.A monitor usually has a resolution of 96 DPI, a printer has a resolution of 300,600 or even 1200 DPI. Incorrect specifications could occur due to the conversion from m m to DPI.

 

Document Editor

n Page / Document the paper format and the margines are determined. The specifications of height and landscape format will not be evaluated yet.ATTENTION! A paper format with margins = 0 will lead to false results, as the printers always have an out of field zone. Therefore always measure the margins so that they fit to the printing field regardless of the printer type. Beware, especially at the bottom margin, as cartridge printers have a much larger printing zone than laser printers ( up to 18 mm ). The document type determines whether it is an invoice, confirmation etc. The description marks the document significantly in the data bank. Internally, a language reference is saved, eg: de, for german, so that only documents can be created and alterated in the system language of and by the user.

 

Printing fields

The printing fields are the same for all documents.They all possess the fields header, centre and footer. The header and the footer are determined page by page on a specified size. The centre begins below the header and accretes towards the footer, depending on the amount of data. The centre area is divided into the fields header-centre, centre-centre and centre-footer, in which the sizes can be adjusted within the centre. In the monitor – mask the fields header, ( title, tables,sums ) and footer are marked and differentiated in color. The fields always have the width of the printable page. Only the height can be adjusted. The centre field has a height index, which can be adjusted when printing according to data amount.

 

Printing Zones

On the one hand the zones have the duty to offer the user meaningfull variables, or to exclude useless variables. On the other hand a position is determined within the field by the zone. The zones, with their accompaning variables are dependant on the document type and are determined by the programm. By the zones for the centre and sums, only variables are allowed which fit to the zones. For other zones, the usefull zones are offered, but the access to other variables in general is allowed. As a special feature, the position specifications of the zones can be placed relatively to the field, or relatively to the side of the page. This option is only sensible in the header field. By means of the position specifications Top = -1 and Left = -1 the zones can be accreted according to the paper format (the margins will be ignored). This could be sensible for a letterhead. If the width is positioned on 0, the zone always has the width of the field, or rather of the page. By means of the setting Frame, the zone is enclosed by a frame. The settings font and color serve as an initial value of the printing objects. The page break orientates itself according to the zones. The zone must fit as a whole to the page.

 

Printing objects

Printing objects comprehend as single row text boxes. They may contain any text, and or variables. Fonts and colors refer to the entire object. That way, it is possible to print the address eg, zip code or state in a different font and size, without having to use RTF. This enables you to measure out, whether a document exists of more pages without having to estimate (ResiGo problem). To obtain a line by line consecutive text, there is the option next line. Once this option is set, the top position is put exactly beneath the previous line when printing, irrespective of how large the font of the previous line is. The setting for Top is then = 0. The option same line serves to place the above position of an object exactly to the top position. Therefore it is possible to arrange various objects in the same line. For example: left-justified, right-justified or centred. The width specification is only sensible if the object is to be anchored to a right-justified, defined position. Otherwise the width should always be set on 0. Hereby, the width is automatically set according to the existing text. If a width specification exists, and after the variable exchange, the text is longer than the set width, the text will be cut off. The effect of the justification, right-justified, is dependant on the entry of the left position and its width. If the left position and the width are both on 0, the entire object will be arranged on the right margin of the zone. If not, within the justified width. The option ,do not print if variable is empty, prevents the printing of an object, if one of the, in the variables imbedded object, has no content. The zones of the field, centre-sums, are inhibited anyway, if no values exist. For example: Tip, expenses, discounts etc.

Change of day

The change of day sets your system to the new work day. All automatic bookings take place with the change of day. All accommodation bookings that were entered on the reservation, are booked to the current guest accounts. The change of day must take place before the 1. check out of the next day. Otherwise you will get a message that the guest has departed too soon and you will miss an accommodation booking of the previous night. The close of day can not be undone!!!

 

Check out


Click the check out button in the toolbar. Select the desired guests. The guests will be checked out via check out. You will be asked if the guest invoice should be printed. Otherwise the invoice can be drawn up later over the guest account or over the tool bar button “ invoice “.

Select the desired guest with the left mouse button. Then go to check in on the navigation bar.


Check in multiple guets

Select the desired guests with the left mouse button. Then go to ´check in all marked guests´.

Category Chart

 

Call up the button category chart in the navigation task.You can see your

categories with the current available rooms of each specific day. Summarized you can see the total amount of available rooms and beds, utilization of rooms and beds in percent, number of rooms on option and waiting list. In order to start a reservation, mark the desired categories and time periods with the left mouse button. Select the double-arrow button at the top to start a group reservation. More info´s in the field group reservation.

Install Wizard

Step 1

The first set-up assistent will guide you through the fist input of your company data in only a few minutes. This enables you to enter  your complete data within 5 – 10 minutes and to get an immediate capable of starting system. The company data can be altered or supplemented in the office at any time. First you must enter an easy to remember password. After closing the assistant, ResiGo  will be started by asking for your password.

 

Wizard Step 2

Enter the correct company address here. The address is essential for the licensing of your software later. At later alterations to the address the software must be licensed again. For further questions concerning the licensing, please refer to the manufacturer.

 

Wizard Step 3

Enter your standard VAT rate here. A second VAT rate can also be entered, eg: for out of house sales.

 

Wizard Step 4

Enter your name and the language in which you want to work in here. English and German are standard, further are in preparation at time. The abbreviation of the correspondence appears for example on the reservation confirmation and invoice as an employee – ID. Further employees with various access groups  can be entered at a later stage in the office field.

 

Wizard Step 5

Enter your various categories and prices. You can for example enter how much a double room booking costs with 1, 2 or 3 persons. Don´t be afraid, you can state a deviation of price for each room or allocate special rates. Week-end, seasonal, trade-rates or price lists and packages can be entered here.

 

Wizard Step 6

Finally, all you need to do is enter your various rooms. Assign them according to categories. Enter features such as: non – smoking. Sea – view, quiet, street etc. The room chart can also be arranged according to features. You shouldn´t  assign too many categories as these will later be included in your group reservations. If a telephone should be connected, you can enter the extension number. The calls will then automatically be booked to the guests account and  he can receive an itemized record of all his calls. You are now done with the complete entry of your master data. Go to ``complete,´´ register with your formerly entered  password and convince yourself of the simplicity of ResiGo. What is the difference between ResiGo Free and ResiGo Pro?

After downloading and starting ResiGo you have a trial period of 40 days. The only function which is not available in the trial version is the document editor. Via the Info Button, you can select between licensing the Free or Pro version of ResiGo. The Freeware is naturally free of charge, but includes, of course, fewer functions than the Pro version. Functions which are not included in the Freeware are for example:

- Price lists

- Packages

- Allocation of Zip/Postal code to city

- Guest legend

- Guest selection for serial letters

- Room features

- Access permissions for staff members

- Operating records

- Group reservations

- Category chart

Of course it is possible to change at any time from the Freeware to the Pro version of ResiGo.

How can I license ResiGo Free or ResiGo Pro?

Click on the License Button on the ResiGo toolbar.

Can i enter more than one reservation in the room chart?

You can mark several rooms simultaneously with the mouse. The various guests can also have different arrival and departure dates. All markings made simultaneously will be automatically put together into one reservation. For more information take a look at our Flash demos.

 

Can i put several guests together to one group?

You can put several guests together into a group by entering them as one reservation. On the reservation you can determine whether the individual guests pay for themselves, whether an automatic invoice splitting should take place or whether all charges should be booked to a company.

 

Can i enter an option date for a reservation

Just go to the right of the reservation and select the data sheet ´options´.You can enter when the option should expire and whether the reservation should automatically be deleted from the room chart once the option date has expired. For more information take a look at our Demo.

 

Can i overbook my hotel

You can also enter waiting rooms. By clicking on a double or single room on the room chart, a waiting room for this category is entered. A waiting room is indicated by a -1 ( number )and appears at the top of the room chart. It can be reserved just as if it were a normal room. With the symbol for waiting room on the top left corner of the room chart you can select whether or not the waiting rooms should be displayed.

How can i scroll through the room bar in the room chart?

With the scroll wheel of the mouse or with the cursor – button you can easily scroll up and down.

Can I view as many rooms as I wish on the room chart?

On the top left corner of the room chart there is a symbol for settings. By clicking on this symbol a window opens up. There among other things you can determine the number of rooms that should be displayed on the room chart.

 

How can I scroll through the rooms in the room chart?

With the scroll wheel of the mouse or with the cursor key you can easily scroll up and down.

 

Can changes be made in the colors and fonts of the room chart?

You can make changes by going to the symbol for settings on the top left corner of the room chart. There you can select your choice of colors, and of font types or even font sizes for all settings such as reservations, arrived. departed, no shows, option, today, weekend, date, room, double occupancy and dirty room. For single reservations even individual frame colors can be chosen, for example to distinguish by color between different groups of travelers.

 

Can I determine the number of weeks indicated on the room chart?

 

On the top, left corner of the room chart there are two symbols that can be used to alter the number of weeks displayed on the room chart. By clicking on these symbols, the display changes automatically to showing one week more or one week less respectively. Depending on the size of your screen it is possible to view at once up to 8 weeks.

How to enter seasonal and weekend rates?

1.In the field Items/Charges, enter the standard rates for eg: lodging.

2.Create a price list, eg: Thurs.-Mon.(for prices from Thursday till Monday) or High Season

3. Go to - Assign price lists. Select edit price list Thurs - Mon.

Now select the item which you wish to alter, eg: DR (double room)

Double click on this item. You can now enter the deviant price below. Alternatively a deviant invoice text such as Double room

weekend rate can be entered. Save. The price has now been transferred to the price list. Repeat this procedure with all other selected charges.

4. Enter an event group, eg: weekend or trade-fair.

5. Now enter your special events. The event Thurs.-Mon. is assigned to the event group weekend. The valid price list for this time period is the price list Thursday - Monday. Should the price list be valid throughout the year, select the period 01.01.2007 - 12.31.2007. On not valid weekdays eg: Monday, Tuesday, Wednesday the check mark is removed. You have now made all necessary allocations. At weekend reservations the correct prices are automatically added to the reservation.

How can i change my currency symbol

The currency symbol must just be converted in Windows. It has nothing to do with ResiGo. Go to Start/Control Panel/Regional and language options/Standards and Formats/Customize/Currency. Here you can select the desired currency.
